Records & Archives is transitioning our records storage operations to Iron Mountain. This well-known and respected records storage company offers safe and more secure storage at a reduced cost.
The transition to Iron Mountain brings some great benefits:
- Iron Mountain barcode labels are embedded with Radio-Frequency Identification (RFID) tracking technology, which provides an added layer of security with respect to locating boxes.
- The method used to submit requests will be consistent, which improves the processing and tracking of requests.
- Records & Archives will be able to update the Iron Mountain database in advance, which facilitates same day pick-up and transfer of records boxes from the University to the Iron Mountain storage facility.
To help you prepare, there are two things that are changing:
- The barcode labels will now be BLUE instead of WHITE, and will be generic in nature rather than custom printed with individual department information. Please refer to the Records Storage Procedure for detailed information about what these labels look like and how they should be affixed to the records boxes.
- Requests for service, whether for supplies, pick-ups, or deliveries, should be sent by submitting a Service Request.
You will still get these great services:
- Boxes and barcode labels will continue to be provided to departments at no cost. Simply submit a Service Request.
- Fast and convenient pick-up and delivery services. In most cases, service requests will be completed within 24 to 48 hours, Monday-Friday.
- Personalized assistance with:
- Interpreting the policies and state statutes that pertain to the retention of public records
- Guidance on identifying which records are public records and which are not
- Selecting the proper record series codes
- Preparing records for storage and recalling records already in storage
- Guidance about digitizing existing paper records as well as retaining born-digital records in a completely digital environment
